We are seeking a detail-oriented and organized Document Controller to manage and oversee company documentation within a structured project environment. The ideal candidate will ensure that all project documents are accurately filed, easily accessible, and maintained in accordance with company standards, client requirements, and regulatory guidelines.
This role plays a critical part in maintaining document integrity, traceability, and compliance throughout the project lifecycle, supporting effective coordination across multiple stakeholders.
Job Description
Key Responsibilities
- Manage the document control system, ensuring that all documents are properly filed, stored, and maintained in a structured and accessible manner
- Register, log, distribute, track, and archive all incoming and outgoing documents in line with established procedures
- Ensure all documentation is correctly categorized, labelled, formatted, and reviewed before submission to internal and external stakeholders
- Maintain strict version control, ensuring only the latest approved revisions are available while preserving full traceability of previous versions
- Collaborate with project teams, engineers, and managers to collect, verify, and manage required documentation across different project phases
- Support railway/metro or large-scale engineering projects by handling technical documentation such as drawings, method statements, test reports, and project correspondence
- Coordinate document review and approval workflows, ensuring timely submissions and follow-ups with relevant stakeholders
- Ensure compliance with company, client, and project-specific document control procedures, standards, and naming conventions
- Conduct regular audits of document records and systems to ensure accuracy, completeness, and alignment with project requirements
- Prepare and distribute reports on document status, submissions, revisions, and outstanding approvals
Required qualifications
Qualifications & Experience
- Proven experience as a Document Controller or in a similar administrative role, preferably within railway, transportation, or engineering environments
- Proficiency in document control systems such as Aconex, EDMS, SharePoint, or equivalent platforms
- Strong understanding of document lifecycle management, version control, and approval workflows
- Strong knowledge of MS Office Suite (Excel, Word, Outlook)
- Experience working on railway or metro projects is highly preferred
- Excellent organizational and time management skills, with the ability to handle high volumes of documentation
- High level of attention to detail and accuracy
- Ability to handle sensitive and confidential information with discretion
- Familiarity with ISO standards and document control best practices is an advantage
- Bachelor's degree in Administration, Engineering, or a related field preferred
